Summary: You can use Turnscribe's basic transcription service without creating an account. Creating a Free or Premium account is optional and lets you save transcriptions and access higher limits. We do not sell your personal data. To improve performance, transcription results may be cached in our database so that repeated requests for the same content are served instantly without reprocessing.
1. Information We Collect
- URLs you submit: Used to process your transcription request. If you are not logged in, the resulting transcription is cached for up to 90 days to speed up future requests for the same content (see Section 5). If you are logged in, the transcription is saved to your account until you delete it.
- Account information: If you create a Free or Premium account (via Google sign-in), we store your name and email address.
- Billing information: If you subscribe to Premium or purchase an add-on pack, our payment processor Polar (see Section 3) collects and processes your payment details. We only receive your subscription/purchase status, plan, and transaction identifiers -- we do not receive or store your full card details.
- API email: If you request an API key, we collect the email you provide to send you the key.
- Technical data: IP address, browser type, and referring URL collected automatically via server logs.
- Cookies: Used to understand how visitors use the site (see Section 4).
2. How We Use Information
- Process your transcription requests and return results to you.
- Cache transcription results to serve repeated requests faster, without reprocessing audio through Whisper.
- Send your API key to the email address you provided.
- Monitor service performance, detect errors, and prevent abuse.
- Understand how users interact with the site to improve the service.
We do not use your submitted URLs or transcription results for training AI models or advertising profiling.
3. Third-Party Services
- OpenAI Whisper API: Audio extracted from submitted URLs is sent to OpenAI for transcription. Governed by OpenAI's Privacy Policy.
- Cloudflare: Used for DNS, DDoS protection, and CDN. May process your IP address and request metadata.
- Google Analytics: Collects anonymised usage data to understand site traffic.
- Google (Sign-In): Used to let you create and log into a Free or Premium account. Governed by Google's Privacy Policy.
- Polar: Our payment processor and Merchant of Record for Premium subscriptions and add-on pack purchases. Polar collects and processes your payment details directly; we do not receive or store your full card information. Governed by Polar's Privacy Policy. See also our Refund Policy.
We do not sell, rent, or share your personal data with third parties for marketing purposes.
4. Cookies
- Session cookies: Temporary, expire when you close your browser.
- Analytics cookies: Aggregate, anonymised data about site usage.
You can disable cookies through your browser settings without affecting the core transcription service.
5. Data Retention
- Transcriptions from non-account use (not logged in): Kept as a cache, for up to around 90 days, so a repeated request for the same content can be served instantly instead of being reprocessed. They are not linked to any personal account, and are not kept beyond what's needed for this purpose.
- Transcriptions saved to a Free or Premium account: Retained as long as your account exists, up to your plan's storage limit. You can delete any saved transcription at any time from your dashboard; deleting your account removes them as well.
- API keys and emails: Retained while your key is active. Request deletion anytime.
- Server logs: Retained up to 90 days for security, then deleted.
6. Your Rights
You may request access, deletion, correction, or portability of your personal data at any time. We will respond within 30 days. Contact us at the email below.
7. Children's Privacy
Turnscribe is not directed at children under 13. We do not knowingly collect data from children. If you believe a child has submitted information, contact us and we will delete it promptly.
8. Changes to This Policy
We may update this policy from time to time. Changes will be reflected in the "Last updated" date above. Continued use of the service after changes constitutes acceptance.
